Introduction

At Tomaaron Care Services Ltd, we place quality, safety, and transparency at the heart of everything we do. This section of our website is designed for:

  • CQC inspectors – quick access to our governance evidence

All documents and information below are the single, controlled versions used across our entire organisation – Berkshire, Derbyshire, and Nottinghamshire. We maintain one version of every policy, one training matrix, and one governance framework.

Our Commitment to Quality

We are registered with the Care Quality Commission (CQC) and follow the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014. Our internal governance exceeds minimum requirements, with continuous improvement built into our quality assurance cycle.

2. Care Monitoring & Commitment at Tomaaron Care Services Ltd

Our Commitment

Governance at Tomaaron Care Services Ltd is not just about compliance – it’s about delivering meaningful, positive outcomes and continually improving the lives of the people we support across Berkshire, Derbyshire, and Nottinghamshire.

Governance Framework & Care Monitoring

At Tomaaron, we operate robust governance systems to ensure safe, effective, and well-led care at all times. Our approach combines technology, transparency, and proactive oversight to maintain the highest standards of service delivery.

Live Rota & Real-Time Oversight

We operate a live rota system that provides real-time visibility of care delivery across all services. The system includes realistic Estimated Time of Arrival (ETA) and travel times, allowing us to plan visits accurately and minimise delays. Management can maintain a clear view of all field operations from the back end, ensuring staff are deployed effectively and care is delivered safely.

Through this system, we can:

  • Monitor staff log-in and log-out times for each visit

  • Track visit schedules, completion, and travel times in real time

  • Ensure staff arrive at the correct location on time

E-Login & Quality Monitoring

All staff use our e-login system, which embeds a quality monitoring framework into daily operations. This allows us to:

  • Verify attendance and accurate visit duration

  • Record real-time updates on care delivery

  • Monitor compliance with care plans and procedures

  • Generate actionable insights for service improvement

Family Portal & Transparency

We provide clients and their families access to a secure family portal, where they can:

  • View care notes and visit records

  • Stay informed about the support being delivered

  • Monitor the quality, timing, and consistency of care

This ensures families remain connected, informed, and reassured at all times.

Communication & Responsiveness

We understand the importance of reliability and proactive communication. Our systems enable us to:

  • Notify clients and families promptly in the event of delays

  • Share realistic ETAs and updates to maintain robust oversight from the backend

  • Maintain reassurance and continuity of care

Consistent Staffing Approach

We prioritise building trusted relationships by allocating a small, consistent team of carers to each individual. This ensures that staff are familiar with the person’s needs, preferences, and routines, promoting:

  • Trust and comfort

  • Improved quality of care

  • Positive outcomes and wellbeing

Commitment to High Standards

By combining live rota oversight, e-login quality monitoring, clear communication, and consistent staffing, we ensure that every individual receives reliable, responsive, and person-centred care. This robust governance framework supports our commitment to being a safe, effective, and well-led service, fully aligned with CQC and NICE standards.

The Care Certificate

All new care staff are supported to complete the Care Certificate, a nationally recognised set of standards that ensures staff are equipped with the fundamental skills, knowledge, and behaviours required to provide safe and compassionate care. Service-Specific Training

We recognise that every individual and service is unique. Our staff undertake service-specific training to ensure they are fully equipped to meet the particular needs, preferences, and desired outcomes of each person we support.

Competency, Shadowing & Safe Deployment

Before delivering care independently, all staff must demonstrate competence in their role. This includes:

  • Completion of all required training prior to starting work

  • Practical competency assessments to ensure safe and effective practice

  • A structured shadowing period, where new staff work alongside experienced and competent team members

We operate a strict policy that no staff member will be assigned to a visit unless they are fully trained and assessed as competent. This ensures the safety, dignity, and wellbeing of every individual we support at all times.

This combination allows us to deliver consistent, high-quality training while accommodating different learning styles and ensuring all staff are fully confident in their roles.

Continuous Learning & Refresher Training

We operate a structured annual refresher training cycle to ensure all knowledge and competencies remain up to date and in line with current best practice. Where additional needs are identified, we provide immediate retraining without delay, ensuring continuity and safety in service delivery.

Supporting Professional Development

We are committed to the ongoing professional development of our staff. Where team members do not already hold a relevant qualification, we actively support them to achieve NVQ/QCF Level 2 and Level 3 in Health and Social Care. This ensures our workforce continues to grow in competence, confidence, and professionalism while maintaining the highest standards of care.

Staff Supervision, Spot Checks, and Meetings

As part of our continuous development support, we provide a structured programme to ensure staff are settling into their roles effectively and that client feedback is consistently obtained. Our approach includes:

  • Initial Supervision: Conducted at 2 weeks, 4 weeks, and 6 weeks from the staff start date.

  • Spot Check: Typically conducted at 6 weeks – usually an unannounced onsite visit with our client to observe staff performance and gather feedback.

  • Monthly Staff Meetings: Regular meetings are held monthly to discuss experiences, share best practices, address challenges, and support professional development.

  • Ongoing Support: After the initial period, we continue with quarterly (every 3 months) supervision and spot checks.

  • Employment Reviews: Reviews are conducted at 3 months and 6 months of employment to evaluate progress and performance.

  • Annual Appraisal: Staff also receive a formal annual appraisal to assess overall performance, achievements, and development needs.
